Managing your site with AI

Building AI into Your Publishing Workflow

Learning objectives

By the end of this lesson, you will be able to:

  • Identify which AI tools apply at each stage of the content publishing workflow
  • Explain how the tools covered across this course connect into a coherent workflow
  • Apply a staged AI-assisted workflow to a real publishing scenario on your site
  • Evaluate where AI assistance adds the most value and where your judgment should remain primary

Thinking in stages

Every piece of content moves through roughly the same lifecycle: you start with an idea, write a draft, edit and refine it, prepare it for publishing, and then manage the conversation it generates. The AI tools in WordPress map onto that lifecycle in a predictable way.

Understanding which tool applies when makes it easier to build a consistent workflow rather than reaching for AI features randomly. It also makes it easier to decide when not to use a particular tool.

While you write

Type-ahead Text is the only AI tool that runs continuously while you write. It surfaces ghost text suggestions as you type in the block editor, useful when you want momentum more than precision at the drafting stage.

Title Generation is available throughout drafting, but works best after your body content exists. The AI uses what you have written to propose titles. Generate early titles as placeholders if you find it helpful, but treat the final title generation as a post-draft step.

Both tools are covered in Writing assistance: titles, excerpts, and more.

While you edit

Editorial Notes is the first editing tool to reach for. Run it after your draft feels substantively complete. Review the block-by-block feedback across accessibility, readability, grammar, and SEO before making changes.

Editorial Updates applies those notes in bulk. Use it only after you have reviewed what it will change. Reading the post once more after applying is not optional.

Content Resizing is useful for targeted edits: tightening a specific paragraph, expanding a section that feels thin, or rephrasing a block that is not landing right. Use it on individual blocks rather than running it across an entire post.

These tools are covered in Reviewing and improving content with editorial tools.

Before you publish

This is the stage with the most AI touch points. Work through them in order:

Generate a title if you have not already, or regenerate to get fresh options now that the post is polished.

Generate an excerpt for the post metadata that appears in feeds and listings. Edit it to read naturally.

Generate a summary if the post is long-form and readers would benefit from an inline overview before reading the full content.

Generate a meta description for the snippet that search engines display. Keep it accurate and specific.

Suggest categories and tags to confirm the post is classified correctly. Review suggestions against your site’s taxonomy strategy before saving.

These tools are covered in Writing assistance: titles, excerpts, and more and Classifying your content.

💡 Why this matters for you: The pre-publish stage is where most AI writing tools pay off most clearly. Running through this checklist before every post creates consistency without adding much time, especially once the steps become routine.

After you publish

Comment Moderation runs automatically once enabled, holding high-risk comments for your review. Build a habit of checking your pending comment queue alongside your other site maintenance tasks.

Suggest Reply is available whenever you are ready to respond to comments. Use it as a starting point, choose a tone that fits the conversation, and edit before posting.

These tools are covered in Moderating comments with AI.

Across your whole site

AI Request Logging gives you an ongoing picture of AI activity on your site. Review the logs periodically rather than only when something seems wrong. Unusual spikes in activity or unexpected token consumption are easier to address if you notice them early.

Connector Approval is a one-time setup decision with ongoing maintenance implications. If you enable it, plan to review Tools > Connector Approvals whenever you install or update plugins that use AI.

These tools are covered in Monitoring and controlling AI on your site.

Building your own workflow

Not every tool will suit every site or every content type. A few questions worth answering as you build your personal workflow:

Which stages benefit most from AI assistance on your site? For some sites, comment management is the highest-leverage use. For others, the pre-publish checklist is where AI saves the most time. Start with one stage and add from there.

Where does your editorial judgment matter most? AI-generated titles, excerpts, and replies are starting points. Decide in advance which outputs you will always edit and which you are comfortable accepting with a light review.

How will you keep AI visible? AI Request Logs exist precisely because AI activity can become invisible over time. Building a habit of reviewing logs quarterly keeps you informed about what is happening on your site.

Key terms

TermDefinition
Publishing workflowThe sequence of stages a piece of content moves through from draft to live post and beyond, including writing, editing, pre-publish preparation, and post-publish engagement.
Content lifecycleThe full lifespan of a piece of content, from creation through publication to ongoing reader interaction.

✅ Check your understanding

  1. You are preparing a 1,500-word tutorial post for publication. Walk through the pre-publish AI checklist: which tools would you use, in what order, and what would you do with each output before moving to the next step?
  2. A colleague tells you they skip AI tools during the writing stage because they find suggestions distracting, but they use them heavily during editing and publishing. Is this a reasonable workflow? What does it tell you about how AI writing tools should be adopted?

Up next: Practical: Moderate and classify comments gives you a chance to apply the moderation and classification tools covered across this module to a set of test comments.
